Refund and Cancellation Policy
Last updated: 31 July 2026
This Refund and Cancellation Policy applies to equipment rentals booked through Gearzilla. It should be read together with our Rental Terms and Conditions.
1. Booking cancellations
You may cancel your booking by contacting us at [email address] and providing your name and booking number.
Unless mandatory consumer law provides otherwise, the following cancellation terms apply:
- More than 48 hours before the scheduled rental start: full refund.
- Between 24 and 48 hours before the scheduled rental start: 50% refund.
- Less than 24 hours before the scheduled rental start: no refund.
- Failure to collect the equipment without prior notice: no refund.
The cancellation time is determined by when Gearzilla receives your cancellation request.
2. Changes to a booking
Requests to change the rental dates or equipment are subject to availability.
Changes requested more than 48 hours before the rental begins may be made without a change fee. Any difference in the rental price must still be paid.
Changes requested less than 48 hours before the rental begins are handled individually and may be treated as a cancellation and a new booking.
3. Cancellations by Gearzilla
If Gearzilla cannot provide the booked equipment, we will offer one of the following:
- Suitable replacement equipment;
- New rental dates; or
- A full refund for the unavailable equipment.
Gearzilla is not responsible for indirect losses, lost production time, loss of income or other consequential damages, except where liability cannot legally be excluded.
4. Equipment problems
The customer must inspect the equipment when collecting it and report any visible damage, missing items or technical issues immediately.
If the equipment develops a fault during the rental period, the customer must stop using it and contact Gearzilla as soon as reasonably possible. We will attempt to provide technical assistance or replacement equipment.
If the equipment cannot be used because of a fault that was not caused by the customer, Gearzilla may provide:
- Replacement equipment;
- A proportional refund for the affected rental period; or
- A full refund where the equipment was unusable for the entire rental period and no reasonable replacement was available.
Refunds are not available for problems caused by improper use, accidental damage, unauthorised modification, incompatible third-party equipment or failure to follow the provided instructions.
5. Early returns and unused equipment
Returning equipment before the agreed return time does not automatically entitle the customer to a refund.
No refund is issued for equipment that was collected but not used, or for individual items in a package that the customer chose not to use.
6. Late collection
Late collection does not extend the agreed rental period and does not reduce the rental price.
If the customer expects to be late, they should contact Gearzilla as soon as possible.
7. Security deposits
A security deposit is not part of the rental price.
After the equipment has been returned, Gearzilla will inspect it for damage, missing items and late return. If there are no outstanding charges, the security deposit or payment authorisation will be released without unreasonable delay.
Where deductions are required, Gearzilla will provide information about the reason and amount. Depending on the payment provider and the customer’s bank, released funds may take several business days to appear in the customer’s account.
8. Refund processing
Approved refunds are issued to the original payment method unless otherwise agreed.
Gearzilla will initiate the refund without unreasonable delay. The time required for the funds to appear in the customer’s account depends on the payment provider and bank and is outside Gearzilla’s control.
9. Consumer right of withdrawal
Consumers who conclude a rental contract online may have a statutory right to withdraw from the contract within 14 days without giving a reason, subject to the exceptions and conditions established by applicable law.
The withdrawal period generally begins on the date the rental contract is concluded.
If the customer asks Gearzilla to begin providing the rental service during the withdrawal period, the customer may be required to pay a proportionate amount for the service already provided before withdrawal.
Once the service has been fully performed at the customer’s express request and with the customer’s acknowledgement, the statutory right of withdrawal may no longer apply.
Nothing in this policy limits any mandatory rights available to consumers under Estonian or European Union law. The commercial cancellation terms in Section 1 apply in addition to, and not instead of, mandatory statutory rights.
10. Business customers
Statutory consumer withdrawal rights do not apply to bookings made by companies or individuals acting for purposes connected with their business or profession. Business bookings are governed by the cancellation terms in Section 1 and the applicable Rental Terms and Conditions.
